What is a data owner access review?

An access review asks the person responsible for a resource to assess whether existing access is still appropriate. For Windows file shares, the review connects technical permission information with the business context that an administrator may not have. The outcome is a documented decision and, where needed, follow up work.

Define a review that people can complete

Choose a manageable set of shares, identify an accountable owner and agree on a review period. Explain what reviewers are deciding and provide a route for questions. Avoid presenting a large list of accounts without context. Include the resource purpose, relevant groups, sensitive data findings where appropriate and the access being reviewed.

Separate decisions from remediation

An owner decision is not the same as a completed permission change. Record the decision, route changes to an authorized administrator and verify the resulting access. Keep evidence of what was reviewed, who decided and whether follow up work was completed. Unclear ownership and unanswered reviews should remain visible rather than being treated as approval.

How DataScope helps

OpenSource DataScope supports data owner access reviews alongside Windows file share and Active Directory visibility. Owners review assigned resources, while an append only audit log supports accountability. Administrators carry out changes outside the scanner. Reports can support an evidence gathering process, but they do not certify compliance or replace your organization's policies.
